6 Steps to Create a New User in Standard Time®

Adding a new employee takes only a few minutes. Users live inside workgroups — which mirror your org chart — and once created, each employee gets a barcode label they scan at the start of every shift. Here is the complete setup sequence from opening the Users page to handing the employee their badge.

    Open Home > Users

    From the Standard Time® Home page, click the Users icon. The Users page opens showing a tree view with your company (the enterprise) at the root. All existing workgroups and employees are nested beneath it. If this is a fresh install, the tree contains only the enterprise row — you will build the structure from here.

    Create a Workgroup for the Employee's Department

    Users must belong to a workgroup — you cannot add a user directly to the enterprise. If the right workgroup already exists, skip to step 3. Otherwise, right-click the enterprise row (your company name at the top of the tree) and choose New Workgroup. Type the department name — for example, Production, Engineering, or Administration — and press Enter. Workgroups can be nested inside other workgroups to match your org chart: right-click any workgroup to create a sub-group beneath it.

    Add the New User to the Workgroup

    Right-click the workgroup you want the employee to belong to and choose New User. A new user row appears inside that workgroup. Alternatively, click the workgroup row to select it and then click the green + button in the toolbar — the result is the same. Either method creates a blank user record inside the selected workgroup, ready for you to fill in.

    Enter Username and Display Name

    In the Properties panel that opens on the right, fill in the employee's username and display name. The username is the value encoded in their barcode label — keep it short, unique, and free of spaces (e.g., JSMITH). The display name is the full name shown in reports and the time log grid. Username matching at the scan station is not case-sensitive, so JSMITH and jsmith both resolve to the same employee.

    Set Administrative Rights and Access

    In the Users grid, check the Admin checkbox for the new user if they need administrator access — the ability to create projects, run company-wide reports, and manage other users. Leave it unchecked for shop floor workers who only need to scan barcodes and view their own time. For finer control, open the User Experience section in the Properties panel and click Rights to open a checkbox list of individual feature permissions. A Superuser right is available here for managers who need to see all projects regardless of assignment.

    Print a Barcode Label for the Employee

    Every shop floor employee needs a personal barcode label — a badge or card they scan first at the Scan Barcodes page to identify themselves before starting a timer. Select the new user in the Users tree and use the Print Barcodes option in the toolbar or right-click menu. Print on Avery label stock, a laminated badge card, or adhesive wristband stock — whatever suits your shop environment. Hand the label to the employee and walk them through their first scan: username → work order → task to start a timer, STOP to end it.
